*Mirco spoke about the need for “Day Captains” for each day the delegation is here. These day captains will receive status reports from all volunteers and report to Magdalena at the end of each day and she will in turn create a summary of the delegations stay with us.
*Mirco and Tom spoke of the invitations going out for the Gala around January 10, 2007. There was a meeting this morning at 10:00 a.m. regarding the creation and look and information of the invitation.
*Delegation transportation and special limo for the Gala is being researched by Carol. Thank you Carol!
*Seating for the Gala is first come first serve. Magdalena and Carole la Centra will collect the returns of invitations RSVPing for the Gala until all seating has been filled or until around February 10, 2007.
*Joe suggested having live music during the cocktail hour for the Gala. Magdalena will follow-up.

-Mirco brought materials to review that were sent from Treviso. Brochures on local sporting clubs and activities, the influence and impact of the war and the history of local wine and wine makers.
-Tony brought with him a demo-size poster to give everyone an idea of what it will look like. It is based on one of the paintings done by the middle school students in Treviso. Those who would like their company logo on the poster would merely have to contribute $125.00 and send their logo to Tony by the end of this week. Thank you Tony for all your hard work!

And not just Tony, but a big THANK YOU to all of you that have contributed your time, energy and insight! You are appreciated!
To show our appreciation we would like to move some things around on the delegation itinerary in order to have an event in acknowledgement of all our volunteers' efforts.
-Lisa brought the beginnings of a welcoming information bag. Carole suggested the use of Sarasota Sister City cloth bags instead of plastic ones. Great idea Carole, thank you. Lisa will go around St. Armand’s Circle and see if any stores there are willing to give goodies, tokens, gifts or discounts to our delegation.

A lot of progress was made during the meeting which was held Tuesday evening, November 28, 2006 at Lisa Brecher’s office. Those in attendance were: Magdalena Picardi, Lisa Brecher, Carol Arroyo, Patti Dembs, Dianne Brin, Joe Polizzi & Renee Pastor. We thank all of you for the extra time you put in.

Mirco began today’s meeting with a recap on how Sister City Treviso came about. Mirco then went on to discuss the new Itinerary which he went through day-by-day.

Many suggestions were made as to alternate events. Some event times were moved and others were cancelled altogether.

Magdalena and Patti will get together and make up a directory for the Sister City Treviso Branch.

Patti will make a list of volunteer translators and contact them to see who will be available to do which events. Thank you, Patti.

Tony is working on posters for the delegation welcome. Thank you, Tony.

-Bill Wallace the President of Sarasota Sister Cities joined our meeting again today. Welcome, Bill!
-Mirco has received the initial information on the delegates. Patti has volunteered to translate/edit their correspondence accurately into English.
-Mirco also wants to put together a Bio Packet on the Mayor and other key people, to present to the delegation. Patti has volunteered to help coordinate that translation into Italian.
-It seems that we have plenty of volunteers to be interpreters for the delegation. These people will be instrumental in making the delegation feel comfortable during their stay with us. Suggestion was made by Bill that each delegate should have their own interpreter so as to never feel left out of any conversation. However, this poses an issue at meals, as then the group doubles in size. This must be decided upon quickly since restaurants that would like to sponsor a meal must know how many people to expect.
-Since we have had no word from Mike Nelson regarding loaner vehicles we must come up with a solution. Mirco thinks it would be nice to have a 15/20 person stretch limo for the Asolo event.
-Lisa has volunteered to take pictures of all the delegation events. Thank you Lisa!

Discussion Summary:
· In reference to the idea of an Italian speaker visiting Riverview or other schools, Tom suggested we could put out a "survey" for Italians teachers or groups in and around Sarasota that would be interested in offering up their time to enlighten people about the Italian culture, food and/or language. He also suggested a formatfor this as “An Evening With…” held at various venues like Sarasota’s public libraries.
· Tom also suggested contacting “The Originals” group of local restaurants to see about having a week of menus from each of the countries where we have a Sister City, in order to promote knowledge of the SSCA. (http://www.sarasotaoriginals.com/about.cfm) Their website says, “We are always looking for ways to incorporate interesting styles of cuisine from around the world into our own brand of Sun Coast dining.”
· To get our name out Mirco suggested that we look into bringing Roberto (of St. Pete) here, and create a Sister City Treviso event. Roberto teaches Italian cooking classes.
· Rhonda had 2 great contact ideas if any of the delegates wanted environmental information.

- Shea Environmental(spelling??) She says they have various local projects going and could possibly do a presentation.
· Gayle offered to assist in any way for a possible Siesta Key/Lido kayaking trip for the delegation, which would be a scenic and active way to enjoy Sarasota.
· Gayle also suggested a tour of Spanish Point as a delegate activity. (approx. 2 ½ hours)
· The delegation might also be interested in the equestrian/rodeo world. Both are available in our area. (Foxley Farms?)
· We need to start thinking about gifts for the delegation. There is a store on St. Armand’s Circle that sells local wine, sherry, etc.

Miriam suggested hanging Italian flags all around Sarasota during the stay of the delegation. Tom stated that that would be a pricey project but suggested that we hang flags just on the bridge or by entrances and exits from Sarasota.
We have not received the package of details from the delegation yet however we have many ideas for events and all committees will start to gather together to set the foundation for them.
A new idea was contact Whole Foods regarding the delegation and local dishes we could make there with the cooks they will be bringing.
Mirco informed us that we have an available budget of $4800.00.
Another idea brought to the table was a fundraiser during the Asolo event.
Terry has offered to house some of the guests of the delegation. Thank you, Terry!
Mike has contacted BMW and requested 3-5 loaner cars; he should get an answer this week.
Miriam will contact the Sarasota School Board regarding the artwork from students in Treviso and set up a possible event to show them.
Dr. Polizzo will contact Dora Ines Cardona (soprano) and Elena Pierini (pianist) for possible entertainment for upcoming delegation events.

· Mirco will resend Blog to everyone, since some had difficulties opening the one that was sent previously. The Blog will be for anyone that wishes to be updated on that’s been happening at our weekly meetings.
· Last call to join Sarasota Sister City Membership before the new directory comes out. $25
· We should have a confirmation from the Italian delegation by our meeting next week. We will then be able to really solidify plans and events for them, such as viewing Mote Marine Laboratories and Selby Botanical Gardens.
· Discussed splitting into our collective committee groups to initiate plans, events and scheduling. Should committees want to meet separately in addition to our Tuesday meeting, there is a room in City Hall just for Sarasota Sister City Groups.
· Rene’ will contact Ringling for delegation tour permission (possible date Monday, February 19th).
· Suggestion from Suzanne for an event for delegation - if they bring local produce, take them to Judy Gallagher local cooking radio show and maybe assist in preparation of a traditional dish.
· Mike nelson will contact Mercedes and BMW for possible loaner cars for delegation during their stay with us.
· We need more ethnic support -contacts with other Italian societies should be invited to join our meetings and refer them to our Blog.
· Giuseppe will contact brother-in-law, Beppo Ramansini, to become a Sarasota Sister City legal contact in Treviso, Italy.

Minutes -10/17/06 Treviso/Sarasota Sister City Meeting

  • We were graced with many new faces at the meeting, including Miriam Gebhardt, whose participation we had discussed/anticipated last week!
  • Gianrico met with some of the Treviso delegation while he was there on a business trip. They are excited about this endeavor and will be working out the last of the details of their arrival at their meeting next week.
  • Dianne has fixed the DVD of Treviso and Tom will add it to the Sister Cities website to be viewed there. Thank you Dianne and Tom!
  • Our Blog has been set up by Suzanne. Thank you!
  • Dr. Latona passionately conveyed the importance of the “higher education” connection with Treviso and the need to establish semester student exchanges in various fields of study. The idea of "pen pals" between students was also brought up. Dr.s Polizzi and Latona and Miriam Gebhardt agreed to be a part of this educational committee.
  • We now have a good solid foundation of members in committees to begin focusing on priority projects: preparing for the Treviso delegation and arranging an event around the artwork we have from the children of Treviso.
  • Riverview High School just started an Italian language course. Maybe we could go through our Italian contacts here in Sarasota and get them a guest speaker.
  • Many local activities going on soon such as the Sarasota March, Marathon and Florida Studio Theater Group is also putting something together. Maybe we could include some Sister City involvement in these coming events.

I. Discussions
· Mirco brought new version of organizational chart and positions were clarified/changed. Made changes to subcommittees and their respective responsibilities. It was decided to combine the PR and the Event committees into one. Cultural committee to include art, dance, photography, music and drama. Sports and Civic (local government, Boys/Girls Clubs) are other possibilities.
· Grants. Miriam Gebhardt was named for possible assistance. Dr. Polizzi will contact her.
· Dr. Polizzi showed us copies of his beautiful and informative new books. They are great ideas for delegate gifts.
· Local maps of our area were suggested as gifts also.
· Progress of delegate schedule. Many ideas were brought up for their time here.

II. Summary
· Need to get info to be able to start the Treviso blog!
· Need to get information on tourist information centers in the area of Treviso, Venice and Vicenza.
· Need to find out names/positions of each delegate coming in Feb.

I. Discussions
· Mirco produced an initial organizational chart and brought everyone a copy of the requested SSCA “job descriptions”.
· Newsletter. A “blog” format on the SSCA website was decided upon instead of a newletter for communicating meetings/minutes/events with eachother.
· Gifts/momentos to give to the delegates to bring back a part of Sarasota with them. Not just touristy knick-knacks, but symbolic items to increase knowledge/awareness to promote further exchange in the future.
· Budget/grants…where they come from. ($4800/year)
· The need to get the delegates schedule organized in an hourly format as soon as possible.

II. Summary
Smaller group. Gianrico is in Italy. Great ideas coming out and the organizational structure is shaping up.

I. Each attendee introduced themselves and expressed their interest in the Treviso project and what they could offer to assist.

II. Discussions
· Time/place of lunch meetings. Discussed other options.
· Positions/titles of committee members. Asked for more official “job descriptions” to be brought from the SSCA.
· Looking for someone in the field of education. Carol knows a “Bridgette” who is teaching Italian at SHS.

III. Summary
Good first meeting. Pleasant surroundings. The “business” of paying for the lunch needs to be better organized to expedite things next time.
